International Leadership University invites applications from suitably qualified candidates to fill the position of Personal Assistant to DVC Finance,Administration,and Strategic Advancement. The successful candidate will be to provide a high level confidential and professional Personal Assistant support services to the Deputy Vice Chancellor’s office. The job shall be based at ILU Kilimani.
Job Responsibilities:
Under the supervision of The Deputy Vice-Chancellor for Finance,Administration,and Strategic Advancement shall be to:
- Provide secretarial and administrative services the DVC FASA
- Coordinate meetings, prepare agendas, take minutes, and track implementation of action points.
- Prepare and distribute documentation for meetings which are chaired by the DVC FASA.
- Maintain the office diary and arrange for meetings for the DVC FASA.
- Coordinate departmental calendars, appointments, and official travels.
- Respond to inquiries directed to DVC FASA.
- Develop procedures to facilitate effective management of the office of the DVC FASA.
- Track departmental work plans, assignments, and deadlines and follow up on progress.
- Maintaining office filing systems (physical and electronic).
- Coordinate and maintain records of legal matters and liaise with the University Legal Counsel as directed.
- Coordinate visa, work permit, and immigration documentation for international staff and students in liaison with the relevant government offices and the University’s designated offices, as required on a need basis.
- Coordinate special projects assigned by the DVC FASA.
- Promote a Christian and corporate culture upholding ILU Core Values and Statement of Faith.
Qualifications and Skills:
- A Bachelor’s degree in Business Management, Administration, Commerce or related areas.
- At least 4 years of relevant experience.
- Knowledge of office administration and records management.
- Strong organizational and coordination skills.
- Proficiency in Microsoft Outlook Calendar and other digital scheduling and collaboration tools.
- Proficiency in the use of virtual collaboration tools including Zoom and Microsoft teams for meetings.
- Proficiency in Microsoft 365 applications (Word, Excel, Power Point, Outlook (Emails and Calendar), Teams, and One Drive).
- Excellent report writing and minute taking skills.
- High level integrity and confidentiality.
